Refund Policy

This Refund Policy explains when and how refunds, credits, and cancellations are handled for the VendHub platform and related services (the “Service”), operated by Modern Amenities (“VendHub,” “we,” “us”). It supplements our Terms of Service and is part of your agreement with us.
1. Subscription Cancellation
You may cancel a paid subscription at any time through your account settings. Cancellation takes effect at the end of the current billing period, and you retain access to paid features until then. We do not pro-rate or refund fees for partial billing periods except where required by applicable law.
If you were charged in error (such as a duplicate charge or a billing-system mistake), contact us within 30 days and we will investigate and correct it.
2. Marketplace Orders (VendMarket)
VendMarket orders are fulfilled by third-party suppliers (“Suppliers”). The Supplier’s own terms govern returns, refunds, and warranties for the goods they ship. VendHub coordinates refunds and credits between you and the Supplier; approved amounts are returned to your original payment method or as marketplace credit.
- Order cancellation before fulfillment. You may request cancellation through the Service. We will attempt to cancel with the Supplier; success depends on whether fulfillment has begun.
- Damaged, short-shipped, or mis-shipped orders. Report within 14 days of delivery with photos and packing-slip references through the Service or by email. Approved claims are resolved per the Supplier’s terms, typically by reshipment, partial refund, or credit.
- Defective products. Handled per the Supplier’s warranty terms.
- Operator-side issues. Refused deliveries, wrong addresses provided by you, abandoned shipments, and similar operator-caused issues are not eligible for refund.
- Processor and platform fees. Refunds are limited to amounts actually paid. Some processor or platform fees may be non-refundable depending on the processor’s terms at the time of transaction.
3. Equipment (VendEquipment)
Equipment is sold by third-party manufacturers, distributors, or resellers of record, and their terms control returns and warranty.
- Pre-shipment. Cancellation may be possible if the seller has not yet processed shipment. Restocking fees may apply.
- Post-shipment, uninstalled. Returns are subject to the seller’s terms, which typically include restocking fees and freight charges payable by you.
- Installed or used equipment. Generally non-returnable except for manufacturer defects covered under warranty.
- Custom or special-order equipment. Non-returnable and non-refundable.
- Financing. If you finance equipment through a third-party provider, refund and return terms are governed by that financing agreement and the seller’s terms.
4. Marketplace Credits and Rebates
Marketplace credits, rebates, and similar earnings are non-refundable for cash, non-transferable, and may expire per the terms communicated when issued. Credits already redeemed cannot be refunded except in the case of a billing error attributable to us. If we issue a credit in error, we may reverse it.
5. Communication Credits and Pre-Purchased Add-Ons
Any pre-purchased credits or add-ons for voice agent calls, SMS, email volume, or similar usage-based services are non-refundable once consumed. Unused balances at the time of cancellation may be forfeited unless otherwise stated at the time of purchase.
6. Chargebacks
If you have a billing dispute, contact us first so we can investigate and resolve it. Initiating a chargeback with your bank or card issuer without first contacting us may result in account suspension while the dispute is investigated. If a chargeback is decided in our favor, we may pass through processor fees and reasonable collection costs to your account.
7. How to Request a Refund or Credit
Email vendhub@modern-amenities.com with:
- The order or invoice reference;
- The reason for the request;
- Supporting documentation (photos, packing slips, screenshots) where applicable;
- Your preferred resolution (refund to original payment method or marketplace credit).
We will acknowledge your request within 5 business days and respond with a decision after coordinating with any relevant Supplier or processor. Approved refunds typically settle in 5 to 10 business days depending on your bank or card issuer.
8. Your Legal Rights
Nothing in this Policy limits rights you may have under applicable consumer protection law that cannot be waived by contract. Where mandatory law provides a refund right broader than this Policy, that law prevails.
9. Changes to This Policy
We reserve the right to modify, update, or replace this Policy at any time, at our sole discretion. When we make material changes, we will provide notice by posting the updated version and, where required, by email or through the Service at least 30 days before they take effect. Your continued use of the Service after the effective date constitutes acceptance of the revised Policy.
